Privacy Policy

This Privacy Policy applies to the Beacon website, applications, and services. It explains how Beacon handles personal data when you visit the website, create an account, join a workspace, connect a service, or contact support.

If an organization gives you access to a Beacon workspace, that organization controls its workspace and can manage the content and member data in it. Ask the workspace owner about its own privacy practices.

Beacon can collect the following categories of data:

• Account data: your name, email address, profile image, verification state, sign-in method, and account settings.
• Workspace data: workspace details, memberships, invitations, roles, settings, posts, Boards, Documents, saved items, comments, approvals, schedules, and other content that you submit.
• Files and sources: media, links, source details, transcripts, and other material that you choose to save or use.
• Connected-service data: connected account IDs, profile details, granted permissions, connection status, and encrypted credentials needed to publish or retrieve approved information.
• AI feature data: prompts, selected context, instructions, generated results, feedback, and results from actions that an AI assistant takes in Beacon.
• Billing data: your plan, subscription state, checkout status, payment references, and transaction records. The payment provider processes payment-card details.
• Use and security data: IP address, browser and device details, request times, session data, actions, errors, and security events.
• Communications: messages and attachments that you send to Beacon support.

Beacon receives data from you and other members of your workspace. Beacon also receives data from the services you connect and the devices that you use to access Beacon.

Beacon uses personal data to:

• create and secure accounts and workspaces;
• provide, maintain, and improve the service;
• save content and publish it when an authorized person requests it;
• connect social accounts and other services and keep those connections working;
• process subscriptions, usage, and payments;
• send account, security, service, and requested product messages;
• prevent abuse, investigate incidents, and meet legal duties; and
• respond to support requests and enforce Beacon's terms.

When you use an AI feature, Beacon sends your prompt and the content that you select for that request to the configured AI model provider. This can include selected text, saved items, Sources, Documents, media details, and conversation history. Beacon limits the request to the context approved for that operation.

Model providers process this data to return the requested result and to keep their services secure under their agreements with Beacon. Beacon does not use workspace content to train a general-purpose AI model. AI results can be incorrect. Review them before you publish or rely on them.

Beacon uses cookies and browser storage for account sessions, security, active-workspace state, and product preferences. These technologies are necessary for signed-in features to work.

If you choose “Remember how I sign in on this device,” Beacon stores your consent choice. Beacon also stores the last used sign-in method for up to 30 days. This preference does not contain your password. You can turn it off on the sign-in page.

Beacon does not use third-party behavioral advertising cookies. Beacon does not collect browser analytics.

Beacon can share data with:

• infrastructure, storage, email, authentication, billing, support, and AI service providers that process data for Beacon;
• connected social networks and content services when you connect an account, request information, or publish content;
• members and administrators of the workspace that owns the data;
• professional advisers, authorities, or other parties when required by law or needed to protect rights and safety; and
• a successor if Beacon is involved in a merger, financing, reorganization, or sale of business assets.

Beacon does not sell personal data or use it for third-party behavioral advertising.

Beacon keeps account and workspace data while Beacon needs it to provide the service. Workspace owners and authorized members can delete supported content in the product. You can also ask Beacon to delete personal data.

Beacon can retain limited billing, security, audit, backup, and legal records after account or content deletion. Beacon retains these records only for fraud prevention, dispute resolution, legal compliance, or service recovery. Connected services can keep published content under their own policies.

Beacon uses access controls, workspace isolation, encryption for connection credentials, private media storage, and monitoring designed to protect personal data. No service can guarantee complete security. Use a strong password, protect your account, and contact Beacon if you suspect unauthorized access.

Depending on your location, you can have rights to access, correct, delete, restrict, or export personal data, or to object to some uses. You can update many account and workspace details in Beacon. You can disconnect social accounts and other services, change email choices, and delete supported content from the product.

To make a privacy request, email support@postwithbeacon.com. Beacon can ask you to verify your identity and workspace authority before it completes a request.

Beacon and its service providers can process data in countries other than the country where you live. Where required, Beacon uses contractual and technical safeguards for these transfers.

Beacon is a business service for adults who are at least 18 years old. Contact Beacon if you believe that a child submitted personal data without proper authorization.

Beacon can update this policy when the service or legal requirements change. The page will show the new date. Beacon will provide additional notice when a material change requires it.
